How to manage student data or send a message triggered by a course event
Stay in touch with students using automated actions and messages. You can update students on their study progress through various communication channels, including email, Viber, SMS, and chatbots.
In this article, we will talk about how to add and launch a course automation.
Create and configure an automation
With Automation, you can create your own pipeline scenario or use and customize ready-made templates. For example, in the Education section, you can find registration, subscriber reengagement, and lead magnet templates.
In the Courses section
Go to Courses section, open your course, and click the button with the flow icon > Create flow.
In the Automation section
Go to the Automation section and click Create flow.
Enter your automation name, specify the sender, connect Google analytics, and select the unsubscribe page and unsubscribe form's language.
Set the series start
Choose the start condition to send a message at a specific stage of working with a student. You can choose from the following options for launching an automation:
Add student | Launched after the student's registration is confirmed for the selected course. |
Receive student’s payment | Launched after the successful payment of the selected course. |
Grant course certificate | Launched after the certificate is received. |
Complete course | Launched after the course completion conditions are met. |
Add new lesson to course | Launched after a new lesson is added to the course. |
Limit course access time | Launched when the course access time is limited. |
Complete lesson | Launched when your selected course lesson is completed. |

Select a course, and click Apply.
Configure your flow
The left sidebar in the flow builder includes all the elements you can add to customize your scenario.
All elements are optional. You need to add at least one element that sends a message to make your automation work.
To prevent duplicates, make sure to review your email notifications before sending them to students. Learn more: Email notifications sent to students.
Add the Action element
Use the Action element to manage student data in courses.
Add an Action, go to the Courses tab in the right panel, and select an action from the list. For example, you can enroll students in another course during your promotion period or block students.

When the Action element is selected, the following data management options are available in Courses:
Enroll to another course | Registers a student for the selected course. |
Invite to another course) | Sends a student an invitation to the selected course. |
Assign tag | Adds a contact tag in CRM and a student in Courses. |
Delete from course | Deletes a student from the selected course. |
Block in course | Blocks a student in the selected course. |
Mark as paid | Changes the course payment status to "Paid" in the "Students" section. |
Change access time limits | Changes the course access period. |
Add flow and contact management elements
You can also add elements that help manage message sending.
Pause | Add a pause to set a time when your students will not receive messages. |
Condition | Set a condition that will track students’ course status updates. Once the condition is met, they will move further along your flow.
For example, you can set the Opens condition and send the next email only to students who opened the previous one. Read more: Condition element: Courses. |
Filter | Set a student filter to branch your scenario and send relevant messages to a specific student group.
For example, you can select the Receive payment condition and add a reminder email for those who have not paid. |
Goal | Set your goals. Once they are achieved, you will be able to send specific messages or stop your flow. For example, after receiving a course payment, you can send a thank-you message. |
Add an element with sending a message
You can send messages through various communication channels.
Send emails with important information to students, such as new course announcements. | |
SMS | Inform about course events using text messages sent to students' phone numbers, such as lesson start reminders. |
Viber | Send Viber messages to keep in touch with your students, for example, to motivate them to study. |
Push | Communicate with students using web push notifications, such as reminders about upcoming lessons. |
Messenger | Add a chatbot to send messages via Instagram, WhatsApp, Facebook Messenger, or Telegram. |
Your flow will be sent to your primary contact one time. If you have saved more than one phone number and email address in a contact card, the system will send your flow to your selected primary contacts. By default, the email address and phone number you added first are recognized as your primary contact.
You can also use the {{email}}
and {{phone}}
variables within the same flow element, for example, to add an email address to your SMS message text.
Save and launch
Once you finish with the settings, click Save and run in the upper right corner.
The user will receive your message as soon as the conditions of the series start are met.
